The most expensive mistake in your business is not a bad hire or a blown ad budget. It's the customer who was ready to buy, had one good conversation with you, and then never heard back from you again. You didn't lose them to a competitor. You lost them to a follow-up that you never did. Every business says it follows up.
And you know how that actually goes because you've been on the other end of it. The just checking in message you could tell a machine wrote that you deleted in a second, that is not follow-up. That is the reason most people gave up on it. So, I built a follow-up system that actually works. And the center of it is something that almost nobody has seen yet.
I actually got early access to Flowesk's brand new design app called Studio. I'm one of the first people outside their team who actually was able to get my hands on it. And in this video, I'm going to give you the full demo. We are going to build a real onbrand follow-up in it from scratch in minutes. And it'll look like a designer made it because the foundation was actually built by one.
So, here's my promise to you because it's the opposite of what most AI people sell you. This does the boring heavy part for you. Capturing the conversation, drafting the message, making it beautiful, and you will stay in control of what it says and when it sends. AI does the lifting, you keep the judgment. Whether you run a business or you're about to start one or you want to sell this to a client, you can set this up for yourself or run it for a business that needs it.
Let me show you. There's three boxes: customer, AI, follow-up. And we have two pieces to set up and then we spend the real time inside studio. We need one number so the stays are real and then we build. Okay.
A study in Harvard Business Review found that businesses which follow up within the first hour are about seven times more likely to reach a decision maker than the ones who wait even 60 minutes longer. Seven times just for showing up first. Almost every business loses that edge to silence every single day. So here's a system that will fix that. We're going to set that fast in two steps.
Step number one is capturing the conversation. This is quick. Every call is booked through one link. In my case is Calendarly. And then a tool called Fathom, there's Fireflies as well, sits on the call and records, transcribes, and summarizes it.
I pay for Fathom and it's worth every scent because the second the call ends, I have got a clean written record of everything that was said with the important points already pulled out. That's the step. And if your business doesn't run on calls, say it's a shop or people just show up or maybe they fill out a form on your site, you just swap this one piece for a quick flow desk form with two questions. You get the same result. And then step number two, you need to turn that conversation into a follow-up.
For this, I use Claude. And I've given it a routine, a standing instruction that runs on a schedule or on a trigger. Every morning, it checks for a new call on its own, reads them, and drafts a follow-up in my voice that opens with the one specific detail that proves I was actually listening. You don't have to wire in anything between these tools. You don't need any code.
You just need to connect COD to your call recording app. That's it. Now, I want you to notice a distinction. I said it drafts, but it doesn't send. What it does is it hands me the message inside Flowesk ready to make beautiful and ready to approve, which is exactly where the good part starts.
Let's talk about Flowesk. This is the Flowesk Studio. And before I click anything, let me tell you what it actually is because it is not just another tool that spits out a design and calls it done. So, let's build a real follow-up in it, start to finish. First of all, we need to set up the brand. And you do this once, and it makes everything after it feel effortless. So, you open your brand settings and bring in the pieces that make, in my case, my business look like my business. For my logo, for example, I'm going to add the full version and the small icon mark for tight spaces.
for my colors. And I don't mean blue, I mean the exact hex codes. The specific indigo and the specific accent that I use everywhere so nothing ever comes out slightly off. My fonts, and here's the part that I love, I can map them. My heading font goes on the headings, my body font goes on the paragraphs, and I set how big each one should be.
My button style, the shapes, the corners, the fill, even my brand voice, so the tone stays mine. I said all of it once. From the second on, everything Studio makes for me comes out unmistakably mine. Now, step number two, I bring in the follow-up that Claude wrote, and I prompt. Remember, Claude already drafted the message in my voice, opening with the exact thing this customer told me on the call.
So, I paste that in and I describe what I want it to look like. Something like a warm personal follow-up, single column, my photo near the top, the message in the middle, one clear button at the bottom to book the next call. And then I hit go. And watch what comes back. That is not generic AI slop.
That is my brand, my colors, my fonts, my button wrapped around my words, rendered through thousands of design components that their team handbuilt. The thing that used to take me an hour of a clunky old builder just happened in about 10 seconds. And if the first version isn't quite right, I don't start over. I just ask for the change. I can say, "Make the headline bigger or give me one with the photo off to the side or a warmer background." And then it adjusts on brand every time.
So, let me show you two completely different layouts from the same message just so you can see how fast this is. Now, in step number three, and this is the whole point of studio, so please watch closely. You finish it yourself. The AI gets you 90% of the way there. The last 10%, the part that turns good into a designer clearly made this, that is you or me.
I drop into the builder and I go piece by piece. I nudge the spacing so the message breathes. I swap the photo for a better one. And I can pull straight from Studio's own visual library right here, the graphics, even gifts if I want a touch of movement. And then I rewrite the button so it says exactly what I want in exactly the color that pops against my background.
I fix a line of text in line right here without leaving the design. I drop in a personal touch, their first name for example, or the specific detail from our call. This way it reads like I wrote it this morning. And then I check it on a phone because that's where most people will open it. And I make sure that it looks just as good small as it does big.
The reason a studio email looks like a real designer touched it is simple because one did. And step four, I save it as a template. This one is my hot lead follow-up, the message for someone ready to move. And then I duplicate it and make two quick variations. A slightly softer one for warm leads and a lighter no pressure one for people who aren't ready yet.
Three on brand templates built once. And I will never design a follow-up from scratch again. Now, one last thing about Studio, and it matters even if you already send from somewhere else. You are not locked in. Studio lets you export the finished design as a clean HTML and take it to whatever you already use like ConvertKit or Beehive or Mailchimp.
You can design it here and send anywhere. That's honestly something that hasn't been done before like this. In my case, I keep mine right here in Flowesk because of what happens next. So, let's talk about sending it. The message is designed now.
It goes out on its own and I'll keep this part quick because studio was the star. Everyone who talks to me lands in one of three groups. Hot or not yet. Claude already sorted them so they drop into the right group automatically and then I build one simple flow once with three parts. Hot leads get the studio designed message the same day after I approve it and then a nudge toward the next step we agreed on and then a light check-in a couple of days later.
Warm leads get a slower sequence over 2 or 3 weeks. each message built on what they actually care about. And the people who aren't ready to get in, they will get just a simple series that simply waits and picks back up the moment something changes. Every message opens with the real detail from our conversation, not hi John. It's because that personal touch carries straight through from the design.
And two things keep me in control. I approve my most important messages before they send. And the moment someone replies, they drop out of the automation and it becomes a real conversation again. The system starts the second conversation. It doesn't talk over it.
I built this whole system because of one call. It was a perfect fit. There was a real need. They were ready to move and I said I sent something over and then launch swallowed my week. And by the time I remembered 11 days had passed and they had already gone with someone else who simply followed up.
And I didn't lose them because I was worse. Probably we had a better offer. I just lost them because I was busy. And this is what made sure it never happened again. So, look, the most expensive mistake in your business is the customer who talked to you once and never heard back.
